How to get a PDF signed online, with an audit trail

Send a contract or offer for electronic signature, let each signer confirm their email and sign, and get a PDF with a signature page, audit trail and verification code.

Printing a contract, signing it, scanning it and emailing it back takes a day and produces a blurry PDF that anyone could edit. Electronic signatures fix both problems: signers sign from their phone in a minute, and the result carries a record of who signed, when and from where.

Send a document for signature in 3 steps

  1. Open E-signatures and upload the final PDF.
  2. Add the signers (up to 10) with their name and email, and an optional message.
  3. Click Send. Each signer gets an email with a personal link.

What the signer does

  1. Opens the link and reads the document in the browser.
  2. Confirms their email address with a 6-digit code.
  3. Draws their signature (finger, mouse or pen) or types their name, agrees to sign electronically, and signs. They can also decline with a reason.

What you get

  • The original pages, each with a small note referring to the signature request.
  • A signature page with every signature, name, email, time and IP address.
  • An audit trail: when the request was sent, opened, verified and signed, plus the fingerprint of the original document.
  • A QR verification code, so anyone can check that the signed PDF was not changed afterwards.

Everyone gets an email when the last person signs. The signed PDF is stored for 90 days, so download and keep your copy.

Is an electronic signature legally valid?

In Indonesia, the ITE Law recognises electronic signatures. DocuTools provides a simple electronic signature that is not certified by a certification authority (tanda tangan elektronik tidak tersertifikasi). It is widely used for agreements such as freelance contracts, offers, NDAs and internal approvals, and the email verification and audit trail help show who signed and that nothing changed.

Some documents need more: a certified electronic signature from a licensed provider, a notary, or a handwritten signature, for example certain deeds and government filings. Rules also differ between countries. When in doubt, ask a legal adviser before relying on any electronic signature.

Use the real email addresses of the signers and never sign on someone else's behalf. The audit trail records every step.
